For one new hire or a handful, the «Add employee» wizard is the quickest way. If you have the whole company in a spreadsheet, see how to import employees from Excel.
Before you start
- The structure must exist: at least one branch, department and job title, under «Company settings → Structure → Structure». The assignment picks from them.
- Religion is a required field because it affects Hajj leave and religious holidays, and only HR sees it. So adding an employee needs the religion permission in your role.
Steps
- In «My work», open «Employees» and press «Add employee».
- Personal details: name, identity and contact: national number, ID number, birth, nationality, address, marital status and religion. Fields with a star are required; anything you don't know yet can wait.
- Assignment: branch, department, job title, manager and «Hire date». The first assignment starts on the hire date.
- Pay: basic salary and allowances («Pay components», one per line with its monthly amount), plus social insurance and the registered wage. This step only shows for people with payroll access; otherwise a colleague completes it from the employee file.
- Documents: ID copy, academic degree, CV and others, with issue and expiry dates. Diwan reminds you before a document expires.
- Review and save: check the details and press «Save employee».
If saving stops halfway
Nothing is lost. Press «Finish saving» to pick up where it stopped, or «Open the employee file» and continue from there.
After saving: a sign-in account
To punch and send requests, the employee needs a sign-in account:
- For one employee: from the employee file, create a sign-in account. An email tells them their account is ready.
- For every new hire: under «Company settings → Employees», turn on creating a sign-in account for each new employee.
