In your first month on Diwan, don't rely on Diwan alone. Calculate payroll in Excel as usual and compare employee by employee. That way any gap in the data shows up before it reaches anyone's pay.
Before the run
- You need «Payroll access» at the «Full» level (see roles) and two-step verification turned on.
- Every employee has «Pay components» and a payment method: employee file → the pay and payment tabs.
- The «Exchange rate» if any salaries are in dollars. The run uses the rate in force on the last day of the month.
- «Month entries»: a bonus or a deduction for someone this month, with the reason.
- «Attendance & leave → Attendance month» → «Close the month». The page tells you what is missing first.
Steps
- «Payroll» → «New run». Check «Ready for payroll?» and fix what is missing, then «Create the run».
- Press «Calculate»: every employee is calculated, and the exchange rate and the rules are fixed.
- Review the «Health check» tab (it stops if something is wrong), the «Employees» tab, and «What changed?».
- Compare with Excel in the «Employees» tab: gross, insurance, tax and net. If something differs, fix the employee file or the month entries and press «Recalculate».
- «Submit for review»: the run follows the approval path: «Approve as HR», «Approve as Finance», «Approve as Executive». Anyone on it can «Return the run» with a reason.
- «Lock the run» only when the numbers match or you know the reason for every difference. Payslips and files are produced at the lock.
- From «Files and sheets», download the bank file and the Sham Cash, cash, insurance and tax sheets. Once salaries are paid, press «Paid».
Locking cannot be undone: nothing can be edited afterwards. If you can't explain a difference, write to us from «Diwan support» before you lock.
