Instead of losing the handbook in email threads, upload it to Diwan: every employee finds the rules that apply to them in «My Diwan», and you see who has read them and who hasn't yet.
Steps
- Open «Company settings → Employees → Policies and handbooks» and press «Add a policy».
- Enter the title and a «Short description», and choose the «Category»: employee handbook, policy, internal regulation, code of conduct, health and safety, or procedures and forms.
- «Choose a file»: PDF only. A Word file? Save it as PDF in Word and upload that.
- Set «For whom»: «The whole company» or «Branches» (pick at least one branch).
- Want to be sure everyone read it? Tick «Ask for «I have read and agree»».
- Press «Publish the policy».
On the employee's side
The policy shows in «My Diwan» for the employees it is for. They open the file and read it, and if you asked for an acknowledgment, each of them presses «I have read and agree» and sees «Read ✓».
Following up and updating
- The list shows acknowledgments, like «12 of 20 acknowledged». Press «Remind those pending» to nudge the rest.
- Changed the rules? «New version»: upload the file, write «What changed» (shown to employees above the file), and decide «Ask for the acknowledgment again?». Leave it off for a typo fix.
- A policy no longer needed? «Archive»: it disappears for employees, the acknowledgments stay, and you can «Restore» it later.
Tip
Start with the employee handbook and the attendance and leave rules, and ask for «I have read and agree» on them. The first time there is a dispute about lateness or leave, you have something written and read.
