In most companies in Syria, attendance is not one place and one device. There are branches, field staff, internet outages, and a fingerprint device that sometimes freezes. The result: attendance sheets compiled by hand and month-end disputes over deductions. This guide explains what an attendance system needs to do to be reliable, and how Diwan does it.
1. The fingerprint devices you already have
No need to replace your devices. Diwan works with the fingerprint devices common on the market, across several devices and branches. Punches reach the system, and if the internet drops they are kept and sync on their own once the connection is back. Not sure about your device? Talk to us.
2. Mobile check-in at the work site
For employees without a nearby fingerprint device, or who work at several sites, there is mobile check-in: from the Diwan Android app or from “My Diwan” in the browser.
- Location at the moment of check-in only: there is no continuous tracking. Each work site has an allowed radius, and the system compares the check-in location against it.
- Optional selfie: if your company turns it on.
- Offline: the check-in is saved on the phone at that moment and syncs on its own when the internet is back.
3. A QR code on a screen
A screen at the entrance shows a QR code that changes every few seconds, and employees scan it with their phone. Because the code keeps changing, a photo of it sent over WhatsApp stops working once it changes. A simple option for an office without a fingerprint device.
4. The kiosk
A fixed tablet at the entrance where employees check in with a PIN, a card, or the QR code on their employee badge. It works offline, and suits factories and warehouses where staff do not carry smartphones.
5. A suspicious punch? We review it, we do not reject it
A wrong device clock, a spoofed location, or a check-in outside the allowed radius: Diwan does not reject the punch on its own. It counts it like any other and flags it for HR to review. That way no one loses a day because of weak GPS, and odd punches never slip through unseen.
6. Shifts and work patterns
Fixed hours, rotating shifts or flexible time. Night shifts that cross midnight, split shifts, a roster prepared as a draft and then published, and shift swaps between colleagues with the manager's approval.
7. From punch to payroll
Every day Diwan calculates, for each employee, lateness, overtime and absence, taking leave and public holidays into account. Overtime is approved, corrections go through a request and an approval, and everything is logged. At month end the results flow into payroll on their own, with no manual transfer. Requests from the same app
The same app employees use to check in is where they request leave and short departures, follow where their request stands, and get notified when it is approved. Managers approve with a tap. Approved leave reaches attendance on its own, so the day is never counted as an absence by mistake.
8. Privacy
Employees should know what is being recorded about them. In Diwan, location is saved only at the moment of a mobile check-in, a selfie only if the company turns it on, and there is no background tracking. Everyone sees what concerns them: employees see their own punches, managers see their team. Details are in the privacy policy.
